AI Workflow & Process Improvement

Fix the repetitive work slowing your business down.

I help operations-heavy businesses turn repetitive Excel, PDF, reporting, reconciliation, and administrative work into practical AI-assisted workflows — with human review built in.

No AI hype. No unnecessary tool replacement. We start with the process.

The daily reality

What is your team doing manually over and over?

These are usually process problems before they are technology problems.

  • 01

Combining multiple Excel files to create one report

  • 02

Reclassifying the same recurring transactions every month

  • 03

Reading PDFs and manually entering information elsewhere

  • 04

    Building recurring reports by hand

  • 05

Relying on one employee who knows the process from memory

  • 06

Opening multiple systems just to answer one management question

  • 07

Copying information between email, spreadsheets, PDFs, and QuickBooks

  • 08

Employees using AI inconsistently with no approved prompts, SOPs, or review standards

Services

Four ways we work together.

Start with one recurring process. Expand only when the first one measurably improves.

01

Workflow Diagnostic

Find the leak.

  • Review one recurring business process
  • Map steps, handoffs, bottlenecks, duplicated work, and risk
  • Identify what should be simplified, automated, AI-assisted, or kept human
  • Recommend tools only where they improve the process
  • Deliver a plain-English workflow blueprint and implementation plan
02

Workflow Build

Build the better process.

  • Everything from the diagnostic
  • Practical implementation using the right tools for the business
  • Prompts, templates, rules, file structures, source-of-truth instructions, and exception handling
  • Human-review checkpoints
  • Testing and refinement
  • SOP / user guide and handoff

Where an engagement needs specialized engineering, I scope the workflow and coordinate with the right technical resource.

03

Team AI Enablement

Train people on the work they actually do.

  • Practical staff training tied to real recurring tasks
  • Approved reusable prompt library
  • Clear do / don't guidance
  • Human-review standards
  • Role-specific quick-reference materials
  • Manager adoption guidance
04

Ongoing AI Operations Support

Keep improving what works.

  • Identify additional repetitive workflows
  • Improve existing systems
  • Maintain prompts, SOPs, and controls
  • Support adoption and documentation
  • Help management determine where AI is useful and where it is not

Principles

This is not automation for automation's sake.

AI assists. Humans decide.

  1. 01

    Process before tools.

A broken process automated is just a faster broken process. The workflow gets fixed first.

  2. 02

Human judgment stays where it matters.

Classification, exceptions, and final posting stay with the people accountable for them.

  3. 03

    Preserve familiar tools when possible.

Excel, email, PDFs, and QuickBooks can stay. Adoption is easier when the tools are already known.

  4. 04

    Measure the actual improvement.

Time, accuracy, or visibility has to move. If it doesn't, the change isn't worth keeping.

Real work

Workflows built, rolled out, and used.

Problem, system, outcome. Confidential company, account, vendor, and employee details are intentionally excluded.

Accounting Operations

AI-Assisted Credit Card Reconciliation & Exception Management

Problem
Monthly reconciliation across 16+ corporate credit cards required repetitive transaction classification, allocations, payment matching, and review.
System
Designed and implemented a production AI-assisted workflow that uses approved historical workbooks as the source of truth for recurring classifications and allocations, reconciles balances, and routes genuine exceptions for human review.
Outcome
Reduced multiple hours of monthly reconciliation work while preserving the accounting team's existing Excel controls. Final QuickBooks entries remain manually reviewed and posted by accounting.
Management ReportingIn development

Executive Data Consolidation & Operations Dashboard

Problem
Management data lives across multiple Excel workbooks and operational sources, requiring manual searching and comparison.
System
Consolidating standardized inputs and management metrics into one executive reporting platform.
Expected benefit
Expected operational benefit: less manual file comparison, clearer visibility, and one management view. No completed results are claimed yet.
Unit Economics

Pricing & Profitability Decision System

Problem
Job pricing needs to reflect more than simple load volume.
System
Designed a live pricing and profitability simulator combining job price, disposal weight and landfill cost, labor, travel and fuel, equipment wear, card fees, customer-acquisition cost, job duration, contribution, margin, and contribution per truck-hour.
Outcome
Supports consistent scenario testing and better-informed pricing decisions.
Governance & Training

AI Operations Playbook & Employee Enablement Framework

Problem
Employees need practical ways to use AI without inconsistent output or uncontrolled decision-making.
System
Created tool-selection guidance, reusable prompts, data-handling standards, human-review rules, department workflows, and version-control practices.
Outcome
One documented workflow saves a team member 9+ hours weekly.
Multi-Location Enablement

12-Location Staff Enablement Rollout

Problem
A new loyalty/membership program required consistent employee understanding and customer communication across 12 locations.
System
Led staff enablement, training materials, consultative sales guidance, objection handling, manager coaching, and an approved source of truth for program rules.
Outcome
2,200+ point-of-sale opt-ins in the first four days, with 99% SMS marketing consent.
Vendor Coordination

Multi-Site Loyalty / Technology Vendor Implementation

Problem
A multi-site technology rollout involved several vendors, physical locations, and approval paths at once.
System
Coordinated vendor relationships, site setup, point-of-purchase rollout, dispenser-screen experiences, customer-data capture, app-download flows, and approvals across multiple technology and vendor partners.
Role
A coordinated implementation across sites and partners. This is technology coordination and implementation work, not application development.

How it works

A sequence, not a software rollout.

Every engagement follows the same path, sized to one recurring process at a time.

  1. 01

    Understand

Sit with the people doing the work and learn what actually happens today.

  2. 02

    Map

Document every step, handoff, file, and decision point in plain language.

  3. 03

    Simplify

Remove duplicated work and unnecessary steps before any tool is added.

  4. 04

    Build

Implement the workflow with prompts, templates, rules, and review checkpoints.

  5. 05

    Test

Run it against real historical work and tune until the output holds up.

  6. 06

    Train

Teach the team on their own tasks with SOPs and quick-reference guides.

  7. 07

    Improve

Revisit the workflow, measure the gain, and find the next one worth fixing.

  8. Fix the workflow first. Add AI where it earns its place.

Good fit

This is built for you if…

  • Recurring admin work consumes employee hours
  • Important processes live in Excel, email, PDFs, or someone's memory
  • Management wants better visibility without another giant software rollout
  • Your team wants to use AI but needs structure and controls
  • The business values practical adoption over flashy demos

Not the right fit

I'm not the right partner for…

  • Machine-learning research or model development
  • Fully autonomous legal, accounting, HR, or compliance decisions
  • Pure enterprise software engineering engagements with no workflow or process component

If specialized engineering is required, I scope the business workflow and coordinate with the right technical specialist.

About

I come from operations, not from a lab.

I've spent 9+ years supporting a multi-entity fuel, convenience, and car-wash organization, with marketing, program, and operations work spanning 12 California locations. I also co-founded and operate a multi-county service business, where I'm hands-on with pricing, service design, unit economics, operations, marketing, hiring and training, budgeting, and vendor coordination.

My strength is taking processes that live across spreadsheets, emails, PDFs, procedures, and people's heads and turning them into repeatable systems. I work with AI as an operational tool — not as a replacement for judgment. The people accountable for the numbers stay accountable for the numbers.

I'm bilingual in English and Spanish, based in Corona, California, and available for engagements across the Inland Empire, Orange County, Los Angeles, greater Southern California, and remote.
